37 STEPS
1. If you operate routes through midnight, it is possible a rider may be on board the vehicle when the next day begins.
If you have a rider that is still In Transit as midnight approaches, here is what you can do to schedule the ride.
2. Once you have routes set up, simply right click on the ride that will be in transit through midnight.
3. Click Copy Reservation and add one copy of the reservation using the pop-up window.
4. Right Click on the copied ride.
5. Click Edit Reservation
6. Here we will edit the copied reservation. We first must change the Date to the following day. This will allow the ride to be scheduled on the post-midnight Subscription Route.
7. Next, if the Account in this reservation charges per ride, you'll need to change the account so that the rider does not get billed for two rides. Click the Account window to see the drop-down menu.
8. Click the Edit Eligible Accounts button to go inside your accounts and find the appropriate account for this ride.
9. In this example case, the OVRNT account bills the same way as the original account per mile but does not add a per-ride base charge, so the rider will be billed correctly. Click on the Action Dots and select Activate.
10. Next make sure to click Save so the account will be connected to the ride.
11. Now that the OVRNT account is eligible for this ride we will select it from Accounts and proceed to the next step.
12. If all other fields are filled in correctly you can click Save and Close.
13. Now we are back on the Daily Schedule. Since we changed the date of the ride we need to change our date on the calendar.
14. Our copy now sits in the Holding Pen ready to be sat on our after-midnight route.
15. Make sure you select the correct route in the Route Pen above. We will next seat the copied trip on the after midnigth route.
16. Our copy now sits in the Holding Pen ready to be sat on our after-midnight route.
17. Beforehand, make sure you have an after midnight route set on the next day. This route must have the same vehicle and driver as the previous day's night route.
18. Once you have routes set up, simply right click on the ride that will be in transit through midnight.
19. Click Copy Reservation and add one copy of the reservation using the pop-up window.
20. Right Click the copied ride.
21. Click Edit Reservation
22. Edit the copied reservation.
Change the Date to the following day, in this case, the 3rd.
23. This will allow the ride to be scheduled on the post-midnight route.
24. Next, if the account in this reservation charges per ride, you'll need to change the account so that the rider does not get billed for two rides.
Click the Account window to see the drop down menu.
25. In this example case, the OVRNT account bills the same way as the original account per mile, but does not add a per-ride base charge, so the rider will be billed correctly.
26. Then assign the copied reservation to the correct trip by clicking Trip Number to view a drop down list of all available routes for the day.
27. If you have an after midnight route, just select it from this menu.
Here we'll select Route #8, which is clearly labeled as the post-midnight continuation of the original route.
This route has the same vehicle and driver as the original.
28. Click Save to save this reservation.
29. At midnight, the driver must complete their previous day's route, and begin the new route on the next day.
There are multiple ways this can be done.
The overall goal is to complete the original route, validate all rides, and begin the new route.
30. The driver can use ParaScope to click Arrive and Dropoff on the reservation. This could allow you to set up the copied rides earlier in the day, and allow the driver to complete the rest of the steps at midnight on their own.
31. However, it is often best for the dispatcher to validate the ride for the driver when they create the copy, so that all steps are completed in a timely manner by dispatch.
To do this, right click the original reservation on the original route.
32. With your mouse, hover over Validate to see more options.
33. And select Dropoff from the list of options.
Enter the time and odometer information in the pop-up window, and the trip will be marked as Rode.
34. In ParaScope, the driver must click the green Complete Route button and sign off on their original route.
This will complete the validation process for the pre-midnight route.
35. They will then be directed to their Upcoming Routes pages in ParaScope.
The driver can then select Start to begin their post-midnight route.
36. Back in Tripmaster, now that the new day has begun, you can see the post-midnight route the driver has started.
37. On that route we can see the In Transit ride that was on the vehicle through midnight.
And that's it! Now you can schedule rides that stay on the vehicle past midnight.
