37 STEPS
1. You're having a great day on dispatch, drivers are on time, riders are happy...
but then it happens. A vehicle has broken down! As a dispatcher, what can you do? Here's our guide on Vehicle Breakdowns.
2. First, we'll have to create new route just for today. Select a route in the Route Pen section of the Daily Schedule.
3. Right Click anywhere on the route in the Route Pen.
4. Your Route Pen menu options will open up. Click on Add Route. This will open up a new window to create your route for the day.
Note: Make sure your Pop-Up Blocker is inactive.
5. In the new window, add a description you can recognize easily.
Note: Notice the date in the top left of this window. You are only creating a route for the day. This route will not be present on the Daily Schedule after the set date.
6. Click the Vehicle drop down menu to select a new vehicle to assign to this route. You cannot assign a vehicle that is in use by another route.
7. Here we'll select vehicle 002 because it is not being used by any other route today. The driver will switch to this vehicle.
8. Click the Driver drop down menu to add the driver to this route.
9. Give it an Available Start time and an Available End time that will allow all the original route's rides to fit on this route.
10. If you wish to, click to include a Post-Trip Inspection on the new route.
11. Click Save when you have entered all the information needed to assign the original driver to this new route, with a new vehicle to switch to.
12. Now click on the route with the vehicle break down to start moving rides to the new route.
13. Select each ride that is marked Not Validated to move them to the new route.
14. Right Click anywhere in the group of Not Validated rides.
15. In the right click menu, select Move Reservation(s).
Note: any Right Click menu option with an (s) can be performed on multiple trips.
16. In this pop-up, select the new Route you created.
17. Click Move Ride to move each ride you selected to this new route.
18. If there are any riders that were on the vehicle when it broke down, they will still be marked as In Transit, and they also need to be moved to the new route. However, we need to do this carefully so we can still Validate the original route.
19. Right Click the In Transit ride.
20. In the Display Pen right click menu, click Copy Reservation.
Note: You cannot copy multiple reservations
21. In this pop-up, click in this box and add 1 copy.
22. Click Create Copies to copy the reservation.
23. If the rider has an account or funding source that is billing per ride, you need to change the funding source of the copied reservation so that passenger is only billed once for each ride. Do this by editing the copied ride if needed.
24. Once all edits are completed, Right Click the copied In Transit reservation to move it to the new route.
25. Click Move Reservation(s)
26. Select your Breakdown Replacement route.
27. And click Move Ride to move the reservation.
28. Now, you must change the status of the original In Transit ride on the original broken down route. Right click the reservation.
29. With your mouse, hover over Validate to look at the validation options.
30. Click Dropoff to mark this ride as rode on the broken down route.
31. This will open a pop-up window, add the correct odometer and times for this ride. Click Save when you are finished. This will allow the driver to Validate the broken-down route, which will allow you to bill for trips completed.
32. Now the driver must complete a few steps on their ParaScope app to validate the broken-down trip.
As a dispatcher, your job is done but make sure your driver completes the next steps.
33. The driver's tablet will show Route Update notifications from all your route changes. Tap the notifications to hide them. If you as a dispatcher completed the steps correctly, there will be no tasks left for this route.
34. The driver is still logged in to the original route with the broken down vehicle. To swap to the new route, this route must be validated.
If any Breaks or Inspections
remain unfinished, tap to Start and Finish them.
35. Once all tasks have been cleared by the dispatcher and driver, the driver will see the green Complete Route button.
Tap Complete Route to validate the broken down route.
36. The driver will then be sent back to the Upcoming Routes screen, where they will see the new route you created. Here they are able to Start this new route.
37. You can see that the new route begins with the job to drop-off the rider who was in transit before. You're all done; you've successfully saved the day after a vehicle breakdown.
