1. Trip Master can automatically remind riders about their scheduled rides through our Ride reminder tool. To set up Ride Reminders, first open CTS Software - TripMaster and with your mouse, hover over Master Pages
2. Click Company Master
3. Click Enable Rider Reminders
Reminders must be enabled in several places to work correctly. The first place to enable rider reminders is your own company master page.
4. The next place that Rider Reminders must be enabled is in the Rider Master page.
5. Search and find the rider who you wish to receive calls.
6. And ensure that Night Before Reminder and if you like, On the Way Reminder is checked.
7. You can also switch the rider to text messages with verbal consent.
8. You can also enable Ride Reminders on a specific ride. Edit a reservation from the rider master summary page.
At the bottom of each reservation there are switches to turn Ride Reminders On or Off for the given ride.
9. To set up your Ride Reminder Profile, navigate to the Master Pages
10. And click Reminder Profile Master
11. Here you will see a list of all the Reminder Profiles you have made. You can create multiple as needed for different providers.
Click New Reminder Profile to add a new profile.
12. Click to add a Profile Name
This is something only you see.
13. Here you can add a Playback Name that is heard or seen by the call recipient. This is most often the company or provider name.
14. On The Way Lead Minutes is how many minutes prior to a pick up your riders will be notified.
This applies only for On The Way calls. On The Way calls must be enabled on both riders and each of their reservations for this to take effect.
15. Night Before Call Start Time is the time reminder calls will be placed the night before a scheduled pick up. These calls go out within a few minutes of each other, and no calls will be placed after 10 PM.
16. Next, set a Call Back Phone Number. This number is displayed by Caller ID for return calls if needed.
This number must be verified, we'll verify it after we save this profile.
17. Scroll down and click On The Way Configuration to view and customize your On The Way call template.
18. Or Click Night Before Configuration to view and customize your Night Before call template.
19. The Preview will show you your outgoing Night Before message as it will sound to a customer.
20. If you click Use Multiple Templates you will ensure that a call will go out for each ride during the day, even Pickup Priority rides, or rides with multiple legs.
Otherwise, Reminders will only go out for Dropoff Priority Rides.
21. The introduction segment can be edited in the first box.
Click Ride to edit the ride segment of the call.
22. The Closing segment of the call can be edited by clicking the Close tab.
23. Click Introduction to go back to the first segment. We'll edit the configuration to add a variable.
24. Click in the template to customize your message by typing or adding variables. Here you can choose what the Reminder will say.
25. To add a variable click the variable drop down and choose the variable you want to add.
26. Here we'll choose Short Pause to add to our call.
27. Be sure your cursor is in the correct place and Click Add Variable to add the variable to your template.
28. You will see any changes you make appear in the preview.
29. Click Test Phone Call to hear your message.
30. Enter the phone number you'd like to test with and Click Send to receive the call.
You cannot use the same call back number as above.
31. Scroll up and click Save and Close
32. Once you've saved your Reminder Profile, you will be prompted to Verify the call back number.
Click Click to Verify on the Reminder Profile Master Page.
33. Click Call Me and enter into TripMaster the six digit verification code that will be given over the phone.
The automated message will say your number has been verified and you'll see a green check mark in the Verified column.
34. Once you've set up Reminder Calls, you can view their progress and history by viewing your Reminder Status page.
With your mouse, hover over Utilities
35. Click Reminder Status to view your Reminder Status report.
36. Click + to view the messages that went out to a rider.
37. The status of the call, the call time, and the message will be shown in the report.
38. Click in the Rider Name field to search for a specific rider.
39. Click in the Phone field to search for a specific rider's phone number.
40. That's it. You're done setting up Ride Reminders.
