31 STEPS
-
The Account Master lets you store and save different information for the different accounts for which you manage rides. To adjust and add accounts, the first step is to open CTS Software - TripMaster and with your mouse, hover over Master Pages
-
Next, click Account Master
-
In the Account master you will see all the accounts you currently have.
You can filter this data in the Search box.
You can view an account report by clicking either of the Preview options. -
Now we'll add a new account by clicking the New Account button.
-
This will open a new screen with only 2 required fields, the Name and Code.
Both of which must be unique to this account. -
After filling in the Name and Code, you are able to assign this account to riders. This allows you to start entering reservations before you have rate information for the account.
Rates can be added to the account later and applied to past rides. -
If it applies to this account, you can select an agency. Selecting an agency will allow multiple accounts to be grouped together for billing and reporting. Agencies can be set up in Agency Master.
-
If you are setting up billing, select a billing method.
If you aren't entering billing information, it will default to Not Billable. This indicates a bill will not need to be pulled, no reservations will appear on billing reports or revenue reports. -
If you are entering billing information, there are plenty of options.
Let's take a look at billing by Ride. Click the button to expand the section. -
The Ride tab is used to bill a flat one-way rate, passenger miles rate, and/or passenger hours rates.
Note that Passenger miles/hours bills the entirety of the trip including all stops made between pickup and drop off. -
Fill in the Base rate, as well as any per mile rate, with minimum and maximum miles.
You can give riders free miles, and adjust base rates based on mobility. -
If you charge Per Hour you can add an Hourly Wait rate as well.
Below the base, per mile, and per hour charges, there are specific charge situations. -
The No-Show field asks what to do if a passenger no-shows.
You can Bill as Passenger, do nothing, or add a Flat Charge. -
If you add a Flat Charge you can toggle Bill No-Show as Rider to add that flat charge to the normal passenger bill. Leaving it unchecked will only charge a no-show the Flat Charge you assign.
-
Click Additional Fare Charge
to add a fare.
If you wish to deduct the fare from the total passenger bill, select Deduct Fare Collected. -
You can also select how you bill Escorts. Either None, Bill as Passenger, or Flat Charge.
-
If you select Flat Charge, you can enable the Bill escort as Rider toggle switch to add the flat charge in addition to charging the escort as a passenger.
-
You can add a Maximum and Minimum charge here.
If you toggle Add BZone Charge you can add the rates you've set up in your Billing Zone Master page.
If you select Allow Ride Charge Adjustment, you can adjust charges on individual reservations. -
If you need to add any additional type of charge, click the Add Account Charge button.
-
You must add a Description, and then you can add any type of charge needed by adjusting the type of charge from a list of options in the Type drop down menu.
-
If you are charging by Direct Ride, the options are the same as in the Ride billing method. However, Direct Ride only bills miles and hours from point A to pint B, regardless of extra stops executed between.
-
If you are charging by Shared Route, many of the options are similar, but there are some differences.
Shared Route miles and hours are split between all riders on that route regardless of account. -
If you are billing by Shared Mileage, there are 3 options to choose from regarding how the mileage is calculated.
Choose the options that works for you. Then fill in the rate information the same way as before. -
If you are charging by Shared Hours, there are two separate options for how to calculate the hours shared.
-
You can also use the Share Base toggle switch to opt to share the base rate between all riders. By default it is set to NO and all passengers must pay base rate separately.
-
The Account Shared Route functions almost the same as Shared Route.
However, Account Shared Route only shares the charges between passengers that ride under the same account.
For Account Shared Routes, the base rate is always divided between riders. -
The Account Day Rate allows a base rate to be split between all riders under that account regardless of how many routes are used. This method would be used for transporting a group with a total flat fee.
-
Once you have entered your billing method and rates for the account, you can add Additional Information as needed.
Toggling Require Signature will require a rider signature. -
After filling out all the information you require, click Save to save the account.
You can now add this account to riders or reservations anywhere in Tripmaster! -
As in other areas of Tripmaster, items in the Account Master page can be edited by clicking the blue Edit button.
They can also be deactivated by clicking the Triangle next to the edit button. -
And that's it, you're done!
Remember, to start you can just add the name and code for an account and Save it like that to edit later.
This will allow you to add the account to rides prior to setting up billing information, if needed.
