17 STEPS
-
For customers with rides brokered through LogistiCare, the Billing Zone Audit and Prediction tool simplifies the process.
The first step is to open CTS Software - TripMaster and with your mouse, hover over Master Pages -
Click Billing Zone Master to set up your billing zones.
-
In the Billing Zone Master page you can set up your rates by level of mobility (LOC), mileage rate, and direct mileage override cost.
Take a look at the structure of the Name of the billing zone. All billing zone names must follow this template. -
If you have not set up your billing zones yet, click New Billing Zone to add one.
-
Click to add the Name.
Billing zone names must begin with the letter code used for level of service, and then contain the mileage range.
Ex: A 06-12 = ambulatory between 6 and 12 miles.
For "greater than" ranges, add a "+" to the last number. -
Click to add the Rate associated with this mileage range and LOC.
Just enter a number here.
This rate is the Direct Mileage Override cost in dollars.
In this example we'll add 7 dollars to rides that are between 6 and 12 miles in length. -
Click Save when you have finished adding this billing zone.
-
Now we can see the zone we just added on your billing zone master page.
Riders will be charged $7.00 for a ride between 6 and 12 miles long.
It is important that there are no gaps in your billing zone coverage, make sure every mile is accounted for. -
Now that we have added billing zones, we can apply them in bulk to our reservations.
With you mouse, hover over Utilities. -
Click Audit.
-
Now select the date range you wish to audit by clicking the Calendar pop-up.
-
Click the Audit Type box to select an audit from the drop down menu.
-
To apply billing zones, choose the Rides Missing BZone option from the list.
-
Then click Audit.
This will bring up all rides under accounts that have billing zones enabled for the date range you've selected. -
For the Predictions to apply the Reservation Special Directions on the imported reservation must contain “Direct Mileage: 123” and “LOS: ABC”, where ABC is the alphabetic character in your BZones.
This will be in the reservation at the time of import. -
When you are ready, just click Apply BZone Predictions to apply your billing zones to valid rides.
-
And that's it! You have now successfully added your billing zones to rides.
If you are having any issues, check your Account Master, Billing Zone Master, and the Reservation itself to troubleshoot.
And you can always ask the training team for help!
