32 STEPS
-
If CTS Software has enabled the use of ParaPass tools, you will see a new Pass Management button appear on your TripMaster toolbar.
To begin using ParaPass, click Pass Management. -
This will bring you to your list of Passes.
Here you will see any pass you have added, and you'll be able to edit and deactivate them from this list. -
There are two types of passes. A Cash Pass is a cash equivalent, with fare for each ride deducted from a total loaded onto the card.
A Flex Pass can be various kinds of passes, from unlimited to time restricted.
First, let's make a +New Cash Pass. -
Click in the Pass ID area, so that the cursor is blinking in this box, then scan the pass you wish to create using your scanner.
This is an essential step for tying the physical pass to the record in your database. -
Rider Types can be set up in the Rider Type master page, under the Master Pages menu in your toolbar.
Any type you create will show up here in a drop down menu when you click the Rider Type box. -
Click the Amount of funds to add to pass box to enter the amount of money being loaded onto the pass.
-
Click the Assigned to Rider box to add who is riding under this pass.
Begin typing the rider's name, and a menu will appear with all riders who match. -
Select the rider you are creating the pass for from the suggestions.
-
If necessary, you may add a Purchaser Name if the rider is not buying the pass themselves.
-
Click Save when you are done entering the necessary information.
This will bring you to a new page called Pass Details. -
The Pass Details page shows all the pass information you entered, as well as a full history of all times this pass was used, any funds added, or in this case, when the pass was created.
-
At the top there are some helpful options.
Edit allows you to edit the rider and rider type.
Add Funds allows you to add funds just like when you created the pass.
And Transfer Funds allows you to transfer balance between passes. -
Click Transfer Funds to remove funds from the pass you are currently viewing and transfer them to another cash pass.
-
Just like before, click the Pass ID box to move your cursor there, then use your scanner to scan the pass to which you wish to transfer funds.
-
Enter the Amount to transfer in this box. This will remove the amount you enter from the original pass to the one you just scanned.
Notice since the original pass was purchased by a third party, the Purchaser Name appears here as well. -
Click Save to transfer the funds.
-
You will be returned to the Pass Details screen of the original pass, and you can view the transfer in the pass's history.
Click Back to List to return to the Pass list. -
You may see the Pass Details screen for any pass by clicking View History.
You can also bring up a list of other options by clicking the Wrench icon. -
This brings up the same options seen in the Pass Details screen.
Along with the option to Deactivate the pass, which will not allow it to be used. -
Now lets create a Flex Pass.
Just click +New Flex Pass to begin. -
The process starts in the same way, click to move your cursor to the Pass ID box. Then scan the pass you are creating.
-
You can adjust the Rider Type as needed, and being searching the rider's name in the Assign to Rider box.
-
There are a wide variety of pass types that can be created with a flex pass. Reading the examples can give you some ideas.
For our example, we'll say Joan is purchasing a number of rides to a class she's taking this month. -
Click Number of rides to add any number of rides to this pass. You can always leave this area blank to signify that an unlimited number of rides are available.
Joan needs to visit her class twice a week, so for this example we'll enter 8 here. -
And in our example Joan only needs the pass for one month, starting now.
No Effective Date is needed if you wish to have the pass active immediately.
But we will add an Expiration Date by clicking the Calendar Pop Up. -
When you have completed entering the information required for the specific type of pass you wish to create, click Save.
-
This will bring you back to the Pass Details page for this new pass. You can view the pass history below.
There are also more options at the top of the screen. This time you have an Edit option, and an option to add rides. -
Edit will not only allow you to adjust the rider, purchaser, and rider type like before, but will also allow you to edit the date range.
For our example, Joan calls and lets us know she'll need 2 more rides, so click Add Rides. -
From this screen we can see the number of rides currently on the pass, and the rider.
Click Number of rides to add to type in the number of rides you are adding.
The rider is not editable through this screen, only through the Edit button. -
Click Save when you are done.
-
Again we are brought back to the Pass Details page, where we can see the modification we made in the pass history, and see the current number of rides is 10.
Click Back to List to view all your passes again. -
That's it. You're done!
You can now manage your passes with Tripmaster.
If you ever have questions, feel free to ask the training team.
Remember, ParaPass must be enabled by CTS before you can access Pass Management.
